Privacy Policy

CareLog is an app for physiotherapists and other professionals who visit patients at home. It helps you keep track of visits, fees, payments and bills. This policy explains what happens to the information you put into it, for the Android app and the web app at app.carelog.live.

1. Your responsibility for patient information

You decide what patient information to record in CareLog and you are responsible for it. Please record only what you need for your work, and get your patients' consent where the law requires it.

2. What CareLog stores on your device

• Patients: name, phone number, address, fee, visit schedule and notes.
• Visits and payments: dates, times, fees, amounts paid, packages, pain scores, treatment notes and days off.
• Settings: language, the name shown on your bills, your UPI ID and your app-lock preference. If you set a PIN, only a scrambled (salted hash) form of it is stored, never the PIN itself.

On Android this is kept in the app's private storage. In the web app it is kept in your browser's storage on that device. CareLog may also keep a few automatic backup copies on your phone so you can recover from mistakes.

3. When information leaves your device

Your records leave your device only when you ask:

• Bills, Excel files, messages and backups you share go to the app or person you pick (for example WhatsApp, Gmail or Google Drive). That app's own privacy policy then applies.
• Call, message and directions buttons open your phone, WhatsApp or Google Maps with that patient's number or address.
• Payment QR codes on bills contain your UPI ID, your name and the amount due, so your patient can pay you.

4. Fingerprint, face unlock and reminders

If you turn on fingerprint or face unlock, your phone checks it and tells CareLog only whether it matched. CareLog never receives your fingerprint or face data. Reminders are scheduled on your device and are not sent through any server.

5. Services we rely on

• Google Play installs the Android app and checks whether an update is available.
• Google Firebase is included in the Android app as part of its technical setup. We do not use it to collect your records or to track how you use the app.
• Vercel hosts our website and the web app. Like any web host, it processes technical details such as your IP address and browser type to deliver the pages, and may keep them in short-lived logs. It does not receive the records stored in the web app.
• PostHog receives the usage statistics described below, on servers in the USA. In the web app, its code is loaded from jsDelivr, a public code server.
• Formspree delivers messages you send through the feedback form on our website: the name, email and message you type there.

6. Usage statistics and error reports

To see how CareLog is used and to fix problems, the app sends us:

• which actions are used, for example "visit marked done" or "PDF bill made", with counts such as how many patients were in a bill;
• errors and crashes, with where in the app they happened;
• the app version, language, device or browser type, and a random ID for your installation;
• the name you set to appear on your bills, if you set one, so we know whom to help when something goes wrong.

These never include patient names, phone numbers, addresses, amounts, notes or anything else you type about a patient. You can turn them off at any time in Settings → Privacy → Share usage statistics.

7. Keeping your data safe

You can lock CareLog with a PIN, fingerprint or face unlock. Because we hold no copy of your records, we cannot restore them if your phone is lost, reset or the browser data is cleared. Use the backup option in Settings regularly and keep the backup file somewhere safe.

8. Keeping and deleting data

Your records stay on your device until you delete them. You can delete a patient or visit inside the app, or remove everything by uninstalling the app (Android) or clearing this site's data in your browser (web app). If you write to us, we keep your message only as long as needed to reply, and delete it if you ask.

9. Children

CareLog is made for working professionals and is not meant for use by children.

10. Changes to this policy

If we change how CareLog handles data, we will update this page and the date at the top before the change takes effect.
